Without these elements, your business will not be profitable and your reputation will sink to new lows.  Therefore, it is vital that you provide high-quality products and service.</p>
<p>For your customer service representatives to provide high-quality customer service, they need to be attentive to the needs and problems of the customer.  A customer who is experiencing a problem with installing a software program or integrating something into their web server will likely be annoyed because he/she cannot do it himself/herself and had to take time to call, email, or chat with a representative in order to alleviate the problem.</p>
<p>The representative needs to be aware of this fact and not provoke the customer into becoming angrier.  One good way of making sure the customer doesn&#8217;t get angrier is to ensure the representative is following along with the problem and making sure he/she understands the problem so that he/she can provide the best solution to the customer.</p>
<p>If the representative does not know the answer to the problem, he/she should be forthcoming in admitting that he/she does not have the answer, but can find the answer or transfer the customer to a person who has more in-depth knowledge about the solution (especially regarding technical issues, etc.)  It&#8217;s important that this happens in an efficient manner; customers do not want to wait all day to reach a person who can help him/her solve the issue he/she is dealing with.  Any more waiting by the customer will likely cause him/her to become so angry that it will be very hard for the representative to leave a positive impression of the company with the customer, and thereby, eliminate virtually all chance of that customer doing repeat business with your company.</p>

<p>What differentiates one company from another is its USP, or Unique Selling Proposition (or Position).  This is the main characteristic that differentiates one company from another and what a company will usually promote as the main reason for why a person should do business with that company rather than one of its competitors.</p>
<p>The USP can relate to price, customer service, bonuses and value, quality or product, or all of the above.  Being that many companies still don&#8217;t provide the level of customer service most consumers are expecting, more and more companies are attempting to build their USP around providing outstanding customer service.</p>
<p>This is vital for companies to compete because, even if a company charges more than a competitors, if that company can provide a consistently high level of customer service, chances are that the consumers will buy from that company and pay the higher price.  They&#8217;ll feel that the higher price is worth getting the valued customer service that the other companies don&#8217;t excel in. <p>To provide that excellent customer service, your customer service representatives need to be knowledgeable toward the issues a customer mentions in a conversation with the representative.  </p>
<p>Over time, you may realize that there are some questions that keep coming up again and again, such as how to integrate your software product into a specific web server.  Instead of having your representatives repeatedly taking calls on this issue and occupying precious phone lines or taking up valuable time answering emails and online chats about the same issue over and over, it might be advantageous to create a &#8220;Frequently Asked Questions&#8221; (FAQ) page on your website and point customers to that page.  Conversely, you could put that FAQ in an email and have customers who need help with that specific issue to click on an autoresponder link to have that email sent to their email address so they can solve the issue on their own.</p>
<p>This way, your customer service representatives can deal with more isolated incidents that occur infrequently that an FAQ cannot handle effectively.  </p>
<p>To determine whether you should create an FAQ, see if specific issues come up several times a day or several times over the course of a week; analyze the phone records to see if the issues are the same ones over and over again.  If so, then you likely have a good reason to create an FAQ and post it on your website or set up an autoresponder and put it in the email.  You should also integrate this with your customer support page on your website, on your online web chat, and in your automated phone menu to ensure that your customers can quickly find the information they are seeking.</p>

<p>Sometimes, things will not always go according to plan.  Let&#8217;s face it &#8211; everyone makes mistakes from time to time; after all, we are only human.  Mistakes will happen, even to the best-run companies.  Therefore, what should happen when one of your customer service representatives makes a mistake?  </p>
<p>The last thing you want to do is to crucify the person and make the person feel bad &#8211; it&#8217;s likely it was not intentional, as this would just hurt himself/herself, in addition to the company.  </p>
<p>Instead, you should reassure the representative that it was an honest mistake to learn from so that he/she does not make it again in the future.  You should go over the situation that led to the mistake, analyze how the representative reacted to the situation, and then discuss how it could have been handled in a better manner.</p>
<p>For instance, if a customer service representative gave a customer the wrong information to rectify an issue, sit down with that representative, find out why he/she thought that the answer he/she gave was the best solution, then discuss what is the best solution to that particular problem so that if a similar situation occurs in the future, the representative will know the best answer to give that customer.</p>

			<content:encoded><![CDATA[<p></p><p>To have a successful business, you must deliver quality products and excellent customer service.  Without these elements, your business will likely fail.  Excellent customer service can provide your business with positive word-of-mouth advertising and publicity that can go a long way toward gaining recurring sales from previous customers and new customers as well.</p>
<p>One element of providing excellent customer service is to answer customers&#8217; questions and issues promptly.  Do not put it off and think, &#8220;I&#8217;ll get to it later.&#8221;  If you do that, the customer will think that he/she can&#8217;t rely on your customer service for any problems that might arise and will look to take his/her business to a company that is more prompt in answering emails, online chats, and phone messages.</p>
<p>That also includes when you are transferring calls from one department to another; the customer should not have to wait on the phone for 5 minutes, 30 minutes, or 60 minutes before talking to another representative who can better assist them.  Granted, there will be times when &#8220;all circuits are busy&#8221; and that the &#8220;next available representative will assist you shortly,&#8221; but you need to make sure you have enough staff and resources available to keep these instances to a minimum.  After all, customers do not have time to wait all day to find a solution to the issue they&#8217;re dealing with; if they can&#8217;t get prompt assistance from your company, they will look elsewhere to find the solutions they need.</p>
<p>Another element is to stick to any promises you make in regards to how quickly you&#8217;ll respond to any inquiries &#8211; if you say within 24 hours&#8217; time, then make sure it&#8217;s within 24 hours time or the negative publicity and word-of-mouth advertising will adversely affect your sales.</p>

This involves following-up with those previous customers to encourage them to purchase from you again.  Certainly without following-up you have little to no chance of having a successful business for the long-term.</p>
<p>However, following-up with your previous customers involves more than just presenting new offers to them.  It also involves following up with them when they have a problem or concern that they asked you to address.  Excellent customer service involves following up with the customer to make sure the problem was solved sufficiently and that no further actions need to be taken to resolve the matter.</p>
<p>Very few businesses will check up on their customers after the customer no longer contacts them about an issue they had, so if your business follows up with them after there is no more contact about the issue, it will make you stand out to the customer, which will keep your company in mind to them for the next time they need a product or service that you provide.  Too many companies will just presume that the issue has been solved and spend their time elsewhere, usually promoting their latest offers.  This can leave a negative impression with the customer, or at the least, not provide the customer with as positive of an expression as the company could have made.</p>
<p>Following-up with a customer when they have an issue is part of &#8220;going the extra mile&#8221; for the customer to ensure that the customer is satisfied and that he/she has a positive impression of your company.</p>

The way to achieve recurring sales from previous sales is to continuously provide quality products and excellent customer service.</p>
<p>If your customer service representatives are courteous and professional, that will certainly go a long way toward providing excellent customer service and a positive view of the company to the customer.  However, one other important aspect that the representative needs to show to the customer is the knowledge that the customer is expecting.  Customer service representatives who say, &#8220;I don&#8217;t know,&#8221; do not help the company provide excellent customer service, and this will decrease your profits.</p>
<p>While it&#8217;s not expected your representatives know everything about everything within the company, they should be able to handle most issues on their own &#8211; otherwise, why are they employed?  When there are times they cannot answer a question or address a customer is having with a product (such as having trouble installing a software product, etc.), the representative should alert the customer that he/she does not have the answer, but will send them to a person in another department who does have the information the customer is seeking.  </p>
<p>It&#8217;s important when a customer service representative cannot directly help the customer that he/she does not leave the customer hanging &#8211; this is almost as bad as being rude or unprofessional to the customer; after all, the customer called the company to get help regarding one of its products.  If the customer service representative offers a &#8220;dead-end&#8221; in regards to the information or help the customer is seeking, the customer will likely think that the company is incompetent and not want to do business with them again.  So it&#8217;s important that customer service representatives know how to handle situations when they do not know the immediate answer &#8211; saying &#8220;I don&#8217;t know&#8221; is not the best way to handle it.</p>

Quality products and excellent customer service will go a long way toward achieving this goal.</p>
<p>It&#8217;s very important that all your customer service representatives realize that they need to be professional, courteous, and knowledgeable at all times, as each one of them could be the only contact a customer has with the company.  This means that the customer will only know the company through that representative; if the customer service representative treats that customer poorly, it reflects badly on the whole business, no matter if another customer service representative or the owner would have handled the customer complaint or situation differently.  The customer will never know that; he/she will only know what happened to him/her when he/she contacted the company.  In other words, first impressions count a great deal when providing customer service.</p>
<p>You&#8217;ve heard the saying, &#8220;You only have one chance to make a good first impression&#8221;?  That absolutely holds true when it comes to business.  You can&#8217;t go back and erase the first contact you have with a customer if it doesn&#8217;t go as you would have liked it to, and it&#8217;s likely the customer will always remember that, so it&#8217;s vitally important that the customer service representative that has the privilege of working with a customer who first asks for customer service to do the best, most professional job he/she can to ensure that the customer has a positive experience with the company so that he/she is willing to purchase from them again in the future.  This is how the company can ensure its long-term profitability, even in a troubling economy such as the one we&#8217;re currently in.</p>
